Contact us via our website, email, or phone to book. Book early to ensure availability. Once we confirm, we'll send a rental agreement and payment details. Your booking is confirmed once we receive payment, required documents, and the signed agreement.
All hirers must provide:
A copy of a valid photo ID (passport, national ID, or driver’s licence)
Proof of insurance or acceptance of Hire Visual’s insurance option (see below)
A signed rental agreement (issued once your booking is confirmed)
We may also request proof of address or additional verification for new clients or high-value hires.
Unless you leave a 100% value deposit, all clients must ensure that hired equipment is fully insured for loss, theft, and damage during the rental period.
You can meet this requirement in one of two ways:
Provide proof of your own insurance that covers the full replacement value of the equipment (naming Highly Visual as loss payee); or
Pay an additional 10% of the rental fee, and Hire Visual will extend our own insurance to cover your hire (subject to policy terms and exclusions).
You remain responsible for any excess and for losses not covered by insurance (e.g. negligence or misuse).
Yes. Hire Visual reserves the right to charge a refundable security deposit of up to 100% of the total value of the items hired.
The exact deposit amount depends on the equipment value, client history, and type of hire.
Deposits are refunded once equipment is returned in good working order, subject to inspection.
Our standard daily rate applies to each 24-hour period.
A 1-week rental is charged at 4 days, and longer hires may qualify for additional discounts.
Rates exclude VAT (if applicable), delivery, and insurance charges.
You can collect items from our Karen, Nairobi location by prior arrangement. We can also arrange delivery for an extra fee. Delivery costs vary by location and distance. Request a quote when booking.
We understand that plans can change. Our refund policy is as follows:
75% refund if cancelled more than 72 hours before the hire start date
50% refund if cancelled within 48 hours
25% refund if cancelled within 24 hours
No refund if the hire has already commenced
Cancellations must be made in writing (email or message confirmation required). Refunds are processed within 7 working days.
You are responsible for the equipment from the moment it leaves our premises until it is returned and checked. If it's lost, stolen, or damaged, you must cover the repair or replacement cost (minus any insurance cover). Misuse or negligence is not covered by insurance.
If equipment is returned late without prior notice, additional daily hire charges will apply.
If you anticipate a delay, please contact us as soon as possible — extensions can often be arranged depending on availability.
Yes. We can provide setup assistance, operational guidance, or on-site technical support at an additional fee.
Our team is happy to ensure you get the best possible results from your hire.
You can use equipment in remote or conservation areas with prior written approval. Cross-border use requires written consent and proper insurance. Inform us of your filming locations during booking to confirm suitability and compliance.
All Hire Visual drones are KCAA registered, and our operations are fully compliant with Kenya Civil Aviation Authority (KCAA) regulations. We can provide a copy of our KCAA Certificate of Registration upon request.
If you wish to hire one of our drones, you must provide:
A copy of your Remote Pilot Licence (RPL)
A copy of your KCAA Operational Authorisation (under which the drone will be operated)
Without these documents, we are unable to release any drone for hire. Hire Visual adheres strictly to all KCAA drone operation and airspace safety guidelines.
Yes, you must sign a rental agreement before we release the equipment. This outlines your responsibilities, insurance obligations, and terms of use. We'll send a copy electronically once your booking is confirmed.
